Supplier Code of Conduct & Service Partnership Policy
1. Introduction
This Supplier Code of Conduct & Service Partnership Policy (“Policy”) outlines the ethical, operational, professional, and compliance standards required from all Suppliers, Service Partners, Contractors, Freelancers, Third-Party Vendors, and Collaborative Agencies who work with Creative Emm LLC (“Creative Emm,” “we,” “our”).
This unified standard ensures:
- Consistent service quality across all creative, digital, and operational collaborations.
- Ethical and lawful business conduct aligned with Wyoming and U.S. regulatory frameworks.
- Integrity, transparency, and accountability in all external partnerships.
- Adherence to the UN Global Compact principles across labor, environment, human rights, and anti‑corruption.
- Alignment with Creative Emm LLC’s Operating Agreement, mission, and global service standards.
This Policy is mandatory for all external parties working with Creative Emm LLC.
2. Scope
This Policy applies to all domestic and international entities or individuals providing:
- Design, branding, UI/UX, and digital creative work
- Website design, development, and tech services
- Marketing materials, social media assets, or content creation
- Motion graphics, animation, or video editing
- Software, hosting, printing, or digital infrastructure
- Consulting, subcontracting, production, or execution support
Compliance with every section of this Policy is required as a condition of contracting or partnering with Creative Emm LLC.
3. Legal & Regulatory Compliance
Suppliers and Partners must follow all applicable laws, including but not limited to:
- Wyoming State business and data laws
- U.S. Federal Trade Commission (FTC) guidelines
- U.S. labor, tax, environmental, and anti-corruption laws
- GDPR standards when handling international/EU user data
- International trade & ethics regulations
- Any jurisdiction‑specific legal requirements where the Supplier operates
Suppliers must maintain up‑to‑date registrations, licenses, approvals, or certifications required to conduct their services.
4. Ethical Business Conduct
4.1 Integrity & Honesty
Suppliers and Partners must operate with fairness, transparency, and professionalism.
4.2 Anti-Corruption & Anti-Bribery
The following are strictly prohibited:
- Bribery, kickbacks, gifts of influence
- Fraudulent misrepresentation
- Manipulating estimates, contracts, or deliverables
- Engaging in conflicts of interest
4.3 Confidentiality
All external parties must:
- Sign Creative Emm’s NDA (where applicable)
- Protect confidential client assets, design files, business strategies, and intellectual property
- Avoid sharing or reusing Creative Emm or client materials without permission
5. Human Rights & Labor Standards
Suppliers must uphold internationally recognized labor rights.
5.1 Prohibited Labor Practices
Suppliers may not engage in:
- Child labor
- Forced labor or human trafficking
- Unsafe or hazardous working environments
- Harassment, discrimination, or intimidation
5.2 Fair Working Conditions
Suppliers must:
- Provide safe, clean, and inclusive workspaces
- Pay fair wages according to local law
- Uphold non-discrimination in hiring and project allocation
- Follow reasonable working hours and humane employment standards
6. Environmental Responsibility
Aligned with Creative Emm’s Environmental Policy, all Suppliers and Partners must:
- Minimize waste in production and digital processes
- Use sustainable materials when applicable (e.g., print vendors)
- Support energy-efficient digital hosting and cloud services
- Follow ethical disposal practices for electronic and physical materials
- Comply with relevant environmental laws in their jurisdiction
Creative Emm prioritizes cooperation with environmentally responsible partners.
7. Data Protection, Cybersecurity & Privacy
Suppliers must follow industry-leading data protection practices in accordance with:
- FTC data security rules
- GDPR requirements (if applicable)
- Wyoming data expectations
- Creative Emm’s Privacy Policy
Suppliers must:
- Securely store and transfer files
- Use encrypted communication when applicable
- Protect client-identifying information
- Avoid unauthorized access, duplication, or distribution of files
Data Breach Obligation:
Any breach must be reported immediately to:

Suppliers and Service Partners are required to:
- Deliver work aligned with Creative Emm’s quality expectations

- Submit original, not plagiarized or repurposed, creative work
- Communicate proactively regarding challenges or roadblocks
- Maintain clean file management and version control
Repeated quality failures or inconsistency may result in partnership termination.
9. Operational & Communication Expectations
9.1 Professional Communication
Suppliers must:
- Maintain professional tone and punctuality
- Respond within reasonable timeframes
- Use official channels such as Notion, Trello, Slack, or email
9.2 Project Management
Suppliers must:
- Follow assigned timelines and milestones
- Deliver editable working files when required
- Document progress clearly in shared platforms
- Seek clarification where needed
9.3 Transparency
Suppliers must disclose:
- Any inability to meet deadlines
- Any operational change affecting performance
- Any potential conflicts or limitations
10. Use of Subcontractors
Suppliers may only use subcontractors if:
- Approved in writing by Creative Emm LLC
- Subcontractors agree to all rules in this Policy
- The Supplier remains fully accountable for quality and conduct
Unauthorized subcontracting may result in immediate termination.
11. Payments, Billing & Financial Conduct
Creative Emm LLC will pay Suppliers based on:
- Prior agreed rates or contracts
- Delivery of completed work meeting quality criteria
- Approved invoices (where applicable)
Creative Emm may withhold or dispute payment if:
- Work does not meet expected standards
- Breaches of confidentiality or quality occur
- Policy violations are identified
Fraudulent invoicing is grounds for termination and legal action.

Suppliers and Partners must immediately report:
- Ethical breaches
- Data security incidents
- Illegal behavior
- Policy violations by any party

- Failure to follow instructions
- Violation of laws or regulations

Creative Emm encourages all partners and suppliers to:
- Update skills in design, development, and industry tools
- Learn new technologies and creative approaches
- Improve efficiency, performance, and sustainability
- Provide feedback for process enhancement

Creative Emm LLC may revise this Policy at any time. Updated versions will reflect a new Effective Date.
